Privacy Policy

This policy explains what information SafeChecklist LLC (“SafeChecklist,” “we”) collects, how we use it, and the choices you have. It applies to safechecklist.com and the SafeChecklist service. Use of the service is also covered by our Terms of Service.

SafeChecklist is used by companies to record inspections of their equipment. For the records a company keeps in the service, that company decides what is collected and how it is used, and we process it on its behalf. If you are an operator or employee with a question about your employer’s records, please ask your employer first.

What we collect

  • Account information: names and email addresses of the people who sign in, and your company and site details.
  • Inspection records: operator names, answers, notes, photos, and times, as entered by your team.
  • Device information: the IP address and browser of the phone that submits an inspection, to prevent abuse.
  • Billing information: your plan and payment status. Card and bank details are held by our payment processor, not by us.
  • Messages you send us.

We do not use advertising trackers. Cookies are used only to keep you signed in.

How we use it

  • to provide the service: show checklists, store inspections, send alerts and reports to the people a company chooses, and produce exports;
  • to bill for the service;
  • to keep the service secure, including limiting repeated or abusive submissions;
  • to support you when you contact us;
  • to understand how the service is used, from counts and dates only — such as how many inspections a company recorded in a week — never from the content of inspections, notes, photos, or operator names;
  • to meet legal obligations.

We do not look at a company’s inspection content unless that company asks us to for support, or the law requires it.

Who can see it

We do not sell your information or give it to anyone for their own use. SafeChecklist runs on established hosting, storage, email, and payment systems, and those systems hold information only so the service can work, under strict security and confidentiality terms.

We would disclose information only if the law requires it, to protect someone’s safety, or as part of a sale or merger of our business, in which case this policy continues to apply to it. Information is stored and processed in the United States.

How long we keep it

Inspection records are kept while the company’s account is open, because they are compliance records and cannot be edited or deleted once submitted. If an account is closed or locked for non-payment, we keep its records for 12 months so the company can return to them or export them, and then delete them. Backups may hold deleted information for a short time longer before they are overwritten.

Security

Each company’s records are kept separate from every other company’s, photos are stored privately and shown only to signed-in members of the company, and data is encrypted in transit. No system is perfectly secure; if we learn of a breach affecting your information, we will tell you as the law requires.

Your choices

You can see and correct your account details in the app. To ask for a copy of your information or for it to be deleted, email us. Because inspection records belong to the company that keeps them, we will pass requests about them to that company, and some may need to be kept by law.

Children

SafeChecklist is a workplace tool and is not meant for anyone under 16. We do not knowingly collect information from children.

Changes

If we change this policy in a way that matters, we will email account owners before it takes effect. The date at the top shows when it last changed.
